Extent
Scope and Contents
The Advertising Promotion Department Records document how Sports Illustrated (SI) was publicized, particularly to potential advertisers, through awards ceremonies, collaborative events with communities, and the dissemination of sports news to radio and television stations through a tape service and press releases; and scripts of presentations to a variety of advertisers during SI's first year of publication. The publicity director and special events director were in charge of organizing the annual announcement for Sportsman or Sportswoman of the Year, and their files include extensive records on this award. This record group also contains all files on Time Inc.'s test run publishing Women's Sports & Fitness.
Women's Sports & Fitness Historical Note
Billie Jean King and Larry King founded womenSports magazine in 1974 as a response to poor coverage on women athletes in the premier sports magazines at the time, namely SI. They sold the majority of ownership to Charter Publishing in 1976. In 1979 womenSports rebranded as Women's Sports & Fitness (WSF). Around 1986, WSF signed an agreement for a trial run with Time Inc. so Time Inc. could explore acquiring it. Time Inc. ultimately did not acquire WSF.

Keith Morris's files document his work organizing and publicizing events and promotional activities for Sports Illustrated (SI). His files also include extensive records regarding the SI tape service which mailed ending interviews of sports figures to radio and television stations.

Because the file groupings seemed intentional, folders were kept in their original groups/series. There is some overlapping of subject matter such as awards events in the General Files.
Biographical Note
The staff newsletter FYI states in his 1987 death notice that Keith Morris was the Sports Illustrated (SI) director of publicity and special event for 32 years. The letter from the publisher confirms Morris was part of the founding staff of SI and states he was one of the best known staff members. From 1980 until his retirement in 1986, the Department Heads Lists have him only as the special events director. Prior to SI, he worked in the circulation promotion department for Time Inc. getting Time and Life placed on newsstands and in supermarkets.
Morris's early files contain some materials addressed to and from Terry Rice. In 1959 FYI describes Terry (Teressa) Rice as the "beautiful publicity woman," but her title isn't recorded until 1970 when she is the SI director of press information.

General Files includes Keith Morris's correspondence and offices files containing memoranda and correspondence arranging collaboration events between professional sports teams or figures and product or company promotions; memoranda and correspondence arranging events honoring professional athletes; correspondence with sports teams and product companies regarding product endorsements; photographs of events; and correspondence to media organizations offering copies of celebrity athlete interviews conducted by SI.
Issue publicity includes a schedule for publicity events listing people and organizations, but not the type of event (meeting, phone call, appearance); and telegrams to radio stations, sportscasters, and others informing them of articles of interest in the current SI issue.
Radio and Television Correspondence includes offers for a free weekly mailing of the SI radio tape service to media stations and related correspondence. The tapes contained interviews with sports personalities and editorial commentary.
Arrangement
Organized by correspondence then by chronologically grouped files by year based on the original order. The 1960 Files, 1961 Files, 1962 Files, and 1962 Large Special Projects were existing folder divisions. Other general files were grouped by year, but without the explicit folder divisions. The divisions for 1971 Files, 1972 files, and 1980 files were devised by the archivist.

This series contains recordings of several hundred interviews conducted by Keith Morris of sports figures, possibly as part of the Sports Illustrated tape service, to be sent out to media stations. Some interviews are of athletes named Sportsman or Sportswoman of the Year, winners of top honors in their sport, and Olympic competitors. Besides current and former athletes, subjects include coaches, managers, and sportscasters. The majority of interviews date from 1980 to 1986. Each tape could contain up to five different interviews.

Records include primarily audiovisual recordings of sporting events or contests and sports instructional films with some accompanying papers. The bulk of the records date from 1954 to 1967. Papers include form letters describing the films and response cards for the recipient to return regarding use of the film. The 1967 Sportsman of the Year contains a full collection of response cards. The files in box 4128 contain materials addressed to and from Terry Rice. Some of the audiovisual is part of the Sports Illustrated tape service based on the papers.

Jane Gilchrist's files document her work organizing or publicizing Sports Illustrated (SI) events. Specifically, Gilchrist's files document: her planning and publicizing of events related to SI's 20th and 25th anniversary, including researching the history of SI for background material; work done by SI to produced and distributed the official souvenir program for the 1984 Los Angeles Olympics; SI's 1986 poll on American's attitudes towards sports and athletes; publicity around announcements of the Sportsman and Sportswoman of the Year; publicity regarding the swimsuit covers; and Time Inc.'s trial run working on the magazine Women's Sports & Fitness (WSF). The majority of records are correspondence, magazine issues, press releases, press conference notes and invites, press kits, and photographic material of events.
Items of interest include a videotape of an interview with editor Julie Campbell on the evolution of the swimsuit cover for a news segment on swimwear and a letter in WSF Media Lists from Billie Jean King containing her comments on the business relationship between SI and WSF.

Biographical Note
Jane Gilchrist joined Time Inc. as an Sports Illustrated (SI) production assistant in 1955. She is first listed in the Department Heads Lists in 1976 as the Press Information Director. From 1979 to 1987, she holds the title of Publicity Director, taking over part of Keith Morris's position. A September 1972 article from the staff newsletter FYI announced her promotion to promotion manager of Time-Life Video after serving five years at the SI direct mail manager although her files indicate she returned to SI soon after.

The Press Information Office Files contain press releases, photograph files, and weekly reports to the advertising sales staff. The press releases promote sports figure interviews in Sports Illustrated (SI) and other articles, announce SI staffing changes, and report on sports news. Photographs sometimes accompany the press releases. The photograph files contain photographic material of people or events similar to that found in the press release files. Weekly reports include tentative information on issue contents and covers.
Files for 1973 and 1974 January to April were not found.

The General Files tentatively attributed to Advertising Promotion contain market research and research on various industries along with ad campaign presentations. The majority of materials have no indication of the person or department. The majority of memoranda in the files are from Alvin Buchanan, who signs off as "Promotion" with some materials from Robert Hughes, listed as a merchandising specialist in a 1954 Sports Illustrated (SI) staff list, but promoted to SI advertising promotion director by 1960. The date range of the materials indicate these attempts to attract advertisers happened during SI's first few years of operation. Stetson was the first advertiser in SI according to a speech by Hughes in his bio file.
The General section contain the market research along with fact sheets about (SI), subscriber research, speeches, and other collected material to assist in the promotion of SI. General files also includes a folder of all the empty folders retained that includes names of companies that were possibly targeted as advertisers by SI.
The Presentation section include scripts of presentations tailored to industries or individual companies to demonstrate why they should advertise in SI. The Pepsi-Cola presentation makes the case for SI as a "merchandising tool." The folder Richard Neale Summary includes a list of 1956 advertisers along with a sales pitch to be used by assistant publisher Neale. On the Move is a general presentation.
Arrangement
Organized by General and Presentations with alphabetical arrangements within each section. The arrangement was imposed by the archivist. The materials were initially in one box, had no order, and were loose or in folders that were unlabeled or had labels with no relation to the contents. Several folders were initially empty, and the archivist matched up the empty folders with the correct materials within the box. Ultimately empty folders with titles of companies were retained as they may have been targets of promotional presentations.
